Copy the details from the tender documents word for word: submission point with building and room, deadline with time, required labelling of the packaging and any cover letter. Clarify whether proof of receipt from the accepting office is required and in what form, such as a signature with time. Plan delivery well ahead of the deadline, because gatehouses and post rooms have their own opening hours and waiting times. For samples from ongoing production, tell us the realistic completion time.
Building in a buffer instead of delivering at the last hour
Delivery the day before or on the morning of the deadline leaves room for traffic, long routes inside the building and waiting at the gatehouse. For a submission with a fixed time, a direct run without transhipment can make planning more reliable. We set out the options and their effort for you.
Several submission points or lots
If samples go to several places or belong to different lots, label each shipment separately and assign it to the correct address. We plan the order of submissions so that the earliest deadline is served first.
